Before you sign up.

Can I try it before subscribing?

Yes — email [email protected] and we'll set your account up with a free trial, no card needed. Anything you enter during the trial stays yours, and you can export it from the Records page while the trial is running.

Are there per-student or per-lesson charges?

No. The instructor pays a flat subscription; students and lessons are unlimited.

What happens if I cancel?

Cancelling stops the next payment. Your plan runs to the end of the period you have already paid for, and once that date passes, signing in takes you to the plan page instead of the app. There is no read-only period afterwards, so the schedule, the reports and the settings screens are gone. Your records are not: the plan page carries a button that downloads everything on the account in one file, so you can take them with you at any time, before or after the plan ends. That file covers every student, lesson, report, bill, payment, package, your price list and your activity log, it opens in any browser and you can print it. While your plan is running the same button sits on the Records page, and each student's page still prints their individual training record and DTC205. Nothing is deleted when a plan ends. Signed training records stay exactly where they are for the six years MVAR Division 27 requires, so resubscribing later puts all of it back in front of you.

Can I deduct it on my taxes?

Subscription costs for business software you use to deliver instruction are typically deductible business expenses in Canada. Talk to your accountant. We're not the IRS or CRA, just engineers.

Why isn't there a separate "school" plan?

Because it would be the same software at a different name. Every instructor on copilotBC gets the identical app whether they teach alone or alongside nine colleagues, so charging by how many instructors you have is simpler and more honest than selling two products. A one-instructor business is a driving school with one instructor in it, and it is priced as the first rung of the same ladder rather than as a lesser plan.

Can I add or remove instructors later?

Yes, from the billing portal. Adding someone takes effect straight away and we charge the difference for the rest of the month. Because the bands only ever apply to the instructors inside them, adding your sixth instructor doesn't re-price the five you already had: it just adds one more at the band that instructor falls into. Lowering your seat count takes effect at your next renewal instead, so the instructors in those seats keep working until then and you have the whole month to decide who keeps a seat. We tell you the date and who is affected, in the app and by email.

Can I set up a multi-instructor account today?

Yes. Sign up, choose how many instructors you need at checkout, then send each of them a join link from your admin panel. They sign in to their own copilotBC account, read what your school will and will not be able to see, and accept. You'll be able to open any instructor on your account and see their students, lessons and reports, and the business details, prices and policies you set apply across the school. You can change your seat count later from the billing portal. Teams larger than 25 instructors are still set up by hand: email us.

Can my students pay for lessons by card?

Yes — that's coming with payments at launch. You connect your own bank account through Stripe, send a student a secure checkout link (or hand them your phone), and the lesson is marked paid automatically. The money goes to you; copilotBC never holds your funds — and we take no platform fee and no commission on your lessons, so you keep 100% of your lesson price. On a school plan the school is the seller for the work its instructors record under it, so those payments go to the school’s Stripe account instead; we still take none of it, and we don’t split it between the school and the instructor either. The only deduction is your payment processor's standard card-processing rate (Stripe's usual ~2.9% + C$0.30), which you'd pay taking a card anywhere. Cash and e-transfer always work too — there's a manual "mark paid" for those.

What if ICBC changes the requirements?

The mapping between BC regulations and what the app captures is documented in Compliance. We aim to update the templates when ICBC updates its published forms (included in your subscription), but can't guarantee they're current at any given moment, so always confirm against ICBC's latest before you rely on an export.

Who handles payment information?

Stripe processes all payments on a Stripe-hosted checkout page — your card details go straight to Stripe and never touch copilotBC's systems. copilotBC is the seller for subscriptions, so we handle invoices, refunds, and any applicable Canadian sales tax (added at checkout where required).
