What copilotBC is and what it tracks.
Does it track a student’s progress toward the road test?
Yes. Each student gets a readiness score across the road-test skills. Families see it too.

What does it cost?
The Instructor plan is $56.99 CAD a month. On the School plan, the first two instructors are $56.99 each and every instructor after that is $28.99.
The pricing page shows the total for your seat count.
Is there a free trial?
Yes. Email [email protected]. No card needed.
What do my students and their parents pay?
Nothing. The portal is free for them.
Do you take a cut of my lesson fees?
No. Card payments go through Stripe. Stripe charges its usual fee, about 2.9% + C$0.30.
Who holds my card details?
Stripe. Checkout is on a Stripe page, so your card number never reaches copilotBC. Any tax shows before you pay.
Can I cancel any time?
Yes. Cancel in the Stripe billing portal. Your plan runs to the end of the paid period.
The refund policy applies.
If I stop paying, do I lose my records?
No. Nothing is deleted.
One button downloads every record in a printable file, even after the plan ends. Resubscribe and everything is back.
Division 27 sets a six-year retention duty, so the download stays open on a lapsed account.
Can my accountant use this at year end?
Yes. Earnings exports a CSV with a row per billable lesson, marked paid or not. The mileage log totals business kilometres for the year.

Devices and offline
Phones, offline use, reminders and calendars.
Do I have to download an app?
No. It runs in any current browser and adds to the home screen on iPhone or Android. Store apps are planned.
What happens when I lose signal?
Lessons save on the device and upload when you are back online. The app tells you when it is safe to close.
Can I finish and sign a lesson with no signal?
Yes. The timer, notes, skill marks, odometer readings and both signatures save on the device.
Card payments, emailed reports, and the link or QR code a student signs on their own phone need a connection.

Which devices does it run on?
Phone, tablet or computer, in any current browser.
What about a device somebody else also uses?

Yes, by email and push. Push on iPhone needs the app on the home screen.
Text reminders are planned.
Does it sync with my calendar?
Both ways. A feed link puts your lessons in Google, Apple or Outlook. Connect Google Calendar and students cannot book over your busy times.

Records and ICBC
What is kept, what prints, what is locked.
Is copilotBC approved or endorsed by ICBC?
No. copilotBC is independent and not affiliated with ICBC. ICBC licenses schools and instructors, not software.
Records are built around Division 27 of the Motor Vehicle Act Regulations. Reports are based on official ICBC and BC government formats, and are not official ICBC documents.
What is in a student training record?
The Division 27 fields: student name, licence number and class, date, start and end times (24-hour), length, subject, training type, fee and instructor name.
Night driving is flagged. The printout carries the retention note and your attestation.
What can I hand an inspector?
One export: the training record, the skill record, the ICBC consent and release, and your written disclosure. Print it or save a PDF.
Can it export ICBC forms, or send them to ICBC?
It prints forms based on official ICBC and BC government formats. Check each one against the current version.
ICBC has no submission channel for software, so nothing is sent. See the Compliance page.
How long are records kept, and can I delete one?
Six years, as Division 27 requires. You cannot delete a student or a signed lesson.
After six years the app removes personal details from expired records and logs that it did.
Seventy-two months
A student training record is kept for six years from the last lesson. Every month on that ring is a month in which the app will not let you delete it, will not let you edit a signed lesson, and will print it on demand.
In a school the duty travels with the records rather than with the person. They stay readable by the school after an instructor leaves.
I made a mistake on a signed lesson. Can I edit it?
No. A signed lesson is locked.
Add a dated correction note. It prints under the original.
The lock is enforced on the server.
Do I still need paper and ink?
Some. The consent and release signs in the app or prints filled in. The Declaration of Completion is a paper ICBC form copilotBC does not produce.
What is my instructor licence number for the records?
There is none. ICBC does not issue one, and Division 27 asks for your name.
The only ICBC number here is the school’s driver training code.
Does it count the GLP hours?
Yes, for Class 7L and 7N, against ICBC’s recommended 60 hours, about 10 at night. You can add parent-supervised hours.
Do the hours count if the student has not signed yet?
Yes. Hours count when you finish the lesson. Until the student signs, the printout is marked UNSIGNED.

Do I have to type in my old records?
No. Start with your next lesson. Your old records stay where they are.
Can I import a spreadsheet of students?
No. Adding a student takes about a minute, or send your booking link and they fill it in.
How long does setting up take?
One sitting: your name, school, vehicle, lesson length, fee and pre-trip checklist.
I mark lessons my own way. Do I have to use yours?
No. It starts with twelve skills based on the BC road-test criteria. Rename, reorder or add your own.
Can I keep taking cash and e-Transfer?
Yes. Mark a lesson paid by hand and it counts in Earnings. Cards are optional.
I work alone. Why does it ask for a school name?
BC requires instruction through a licensed driving school, and the name prints on the ICBC consent form. Use your business name.

Your data
Where it is stored and who can see it.
Where is my data kept?
In Google Cloud’s Toronto region, encrypted at rest and in transit.
Some services, such as email and card payments, run outside Canada. The privacy policy lists them. More on security.
Who can read it?
Only your signed-in account. The server checks every read and write, and an audit trail records who did what.
On the School plan, the owner can open their instructors’ records. Instructors agree to this when they join.
Can I put a second step on my sign-in?
Yes, with an authenticator app and recovery codes. Text-message codes are not offered.
Does copilotBC run AI over my students’ records?
No. AI runs only in the help panel, which answers from our help document.
AI report writing exists but is off. If it is turned on, it will ask you first.
Is the lesson recorded?
Only if you turn it on, and only for students who signed consent. Clips stay on your device and delete after up to 90 days.
A student asks for a copy of their file. What do I send?
The app builds a full download for one student. A correction request is recorded beside the original.
So is this a compliance guarantee?
No. copilotBC is built around the BC rules on this page. Whether your business is compliant depends on your business.

Schools and teams
Seats, the admin panel, and staff changes.
What does the School plan add?
An admin panel to open any instructor’s students, lessons, reports and activity log.
Prices, policies, business details and the disclosure are set once. Vehicles share one list.
How do seats work?
Buy between two and 25. Adding one never changes the price of the seats you have.
The owner always uses a seat. Pending invitations count until withdrawn.
Increases apply at once, billed pro rata. Decreases apply at renewal.
Can I see what each instructor brought in?
Yes. Money collected and lessons taught per instructor, by month or year to date. Payments marked by hand are left out.
What happens when an instructor leaves?
The school keeps access to records made under it. The instructor keeps their own account and can rejoin later.
Is there anything the owner cannot see?
The instructor’s signature, e-Transfer address and personal settings.
Do you do payroll or commission?
No. Payroll is not built.
Does each instructor need their own account?
Yes. Their own sign-in puts their name on their records, as Division 27 requires.

Students and parents
The free portal, booking and payments.
What do students and parents see?
A free portal: upcoming lessons, lesson reports, a readiness score, booking and payment.
Do parents get their own view?
Yes. A parent sees their child’s lessons and reports, and can enrol and sign for them.
Do they have to sign up for anything?
Only to book or use the portal. Reports, reminders and payment links go to the email on file either way.
Can students book their own lessons?
Yes, from your booking link. They pick a length, day and time, and you confirm. Nothing is charged at booking.
How does a student pay by card?
Send a link or show a QR code. The money goes to your Stripe account and into Earnings. What it costs.
You issue refunds from your Stripe dashboard.
Can I sell a block of lessons up front?
Yes. Set a lower price per lesson when a student buys several. The app writes the agreement and emails the buyer a copy.
In BC a prepaid block over $50 is a future performance contract. The app does not check your wording.
